Farallon Consulting, L.L.C. has an opening for a full-time, Administrative/Office Assistant in its Issaquah, Washington office. This is an hourly, non-exempt position.

Specialty areas include environmental due diligence, site characterization, engineering/remediation services, natural resources, stormwater management, and mediation/litigation support.  The firm is headquartered in Issaquah, Washington, with branch offices in Seattle and Bellingham, Washington; Portland, Bend, and Baker City, Oregon; and Oakland, Sacramento, and Irvine, California.

 

POSITION SUMMARY

The Office Assistant will set up meetings, conference calls, interface with vendors, make order arrangements, run errands, deliver packages to outgoing postal facilities, and perform other tasks as assigned. The position is in an office setting and will require extended periods of time spent on a computer. The successful candidate will be highly organized, discreet, and responsible. 

 

Requirements and Qualifications

  • 2-3 years of experience in admin position, some college preferred.
  • Demonstrated success in managing multiple priorities. 
  • Proficiency with the Microsoft Office 365 Suite, including Outlook, Excel, Word, and Publisher.
  • Valid driver's license and safe driving record.
  • Professional demeanor.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to work easily with clients, colleagues, and senior management.
  • Proficient in the use of office equipment.
  • Ability to complete a range of tasks with minimal supervision.
  • Adept at working under pressure to complete projects with short turnaround.
  • Experience with WebEx Meeting Center preferred.

 Responsibilities

  • Answer, screen, and route incoming phone calls.
  • Greets visitors to the company and direct them.
  • Assist with conference calls and meeting setup.
  • Prepare and manage Excel spreadsheets.
  • Assist with related clerical duties such as photocopying, scanning, faxing, filing, and word processing.
  • Respond accurately and quickly to requests for information.
  • Provide customer service both internal and external.
  • Prepare correspondence and packages for outgoing mail or courier pickup.
  • Oversee deliveries from vendors.
  • Process and distribute incoming and outgoing mail.
  • Assist with event set up.
  • Place lunch and catering orders as requested.
  • Run occasional errands.
  • Inventory/order office and kitchen supplies.
  • Maintain conference rooms, kitchens, and workspaces.
  • Other duties as assigned.
